4 Productivity Tips for Starting a New Job - MakeUseOf

Starting a new job can be challenging, and it may take a while for you to figure out how everything works. From meeting all new people, learning new systems and processes, and figuring out where you fit.

It's a period that involves a lot of new information, and it's easy to lose track of things. Here are some tips to guide you through your new start, and keep you confident.

1. Create a Space for Dedicated Notes

There's no way to know which things will stick in your memory, and which things you'll forget. It's impossible to remember everything, and you'll likely feel quite tired during your onboarding.

For this reason, it's important to create a space for dedicated notes that you can go back to at any time. Some things that you might want to make a record of include:

  • Information from training sessions.
  • Important contacts, such as IT and HR departments, your teammates, and management.
  • Processes for systems and software you'll use.
  • Rules and policies relating to sickness, leave, and other day-to-day needs.
  • Your KPIs or targets.
  • Any links to websites or folders that you'll need.

Plus, anything else that you feel you'll need to remember.

It's a good idea to keep these notes for at least your first few months, just to keep you in the know. In the case that new information comes to light after your onboarding, you can add that to your notes.

Having a digital note-taking application can make this much easier. Notion is an excellent example of this, because it is incredibly user-friendly and has a large selection of templates you can use to record information.

Notion lets you Add a page from the menu, and from here, you can Choose a template. The best options for note-taking are Meeting Notes or Quick Notes, but you can pick any that you prefer. You can create as many as you need, and you can separate the notes into different themes or keep it all on one page.

There are plenty of alternatives to Notion, if it doesn't meet your needs. The important thing is that you use note-taking software that makes sense to you.

2. Organize Your Emails With Rules and Folders

When you're new to a company, you will likely receive a new email account and an abundance of emails from people you don't know, about things you haven't heard of. This is the best time to get your emails organized.

First, start by creating some new folders that you can use to organize significant emails into. On Gmail, do the following:

  1. On your Mail menu, scroll down to the bottom and select Create new label.
  2. On the New Label menu, type in what you want the label to be called.
  3. Click Create.

This will add a new folder (or label) to your inbox drop-down, and you can start dragging the appropriate emails into it.

Filters on Gmail allow specific incoming emails to be sent to a label of your choice. To create a new filter, use the Search bar at the top of your window, and select the Search options icon. Search for the word or email address that you want to filter, click Apply label, and choose from the drop-down.

For Outlook, just do the following:

  1. On the ribbon, find the Folder tab and click New folder.
  2. Type your folder name into the Name box.
  3. Where it says Folder contains, choose Mail and Post items from the drop-down.
  4. In Select where to place folder, choose the existing folder you want your new folder to be placed under.

You can also do this quickly by going into your Mail menu on the left pane > right-click Inbox and click New Folder. Simply name your folder and press Enter on your keyboard.

3. Store Your Passwords

As with most new jobs, there will be plenty of accounts and systems that you'll have to create login details for, and keeping track of your passwords and secret questions is crucial. However, for security, don't record this information on your standard note-taking app or on paper.

For best practice, you can use a secure password manager app to keep track of your logins and keep them private and secure. In the event that your passwords need updating, these applications allow you to make adjustments instantly, so you won't forget.

When you're still finding your way, the last thing you want to do is to forget your access details and need to contact your IT department for help. Make it simple for yourself and make a record.

4. Shadow Your Colleagues and Reach Out

You can only learn so much from reading materials and talking to your manager. Real learning takes place when you observe practices and do them yourself.

Once you're set up on your company's communication platforms, you're free to reach out to other staff and get to know them. This is your chance to contact your colleagues and ask to observe them. This could be a whole day, or just particular meetings and daily responsibilities.

Doing this will give you insight into how all those policies and procedures work in context, and will give you a real concept of what you can expect. Keep in touch with the colleagues you shadow, and see if you can identify a few who you can go to with questions.

It's reasonable to take a few months to learn the ropes, so don't feel bad about asking for help.

Being a new person comes with a lot of challenges, and it's important to remember to be kind to yourself. Take your time and pace yourself, because you'll have plenty of time for hard work when you're fully trained.
